How To Plan Events In Uncertain Times: Use VUCA To Overcome Challenges
Shawn Pierce is president of the Strategic Events, Meetings & Incentives (SEM&I) division at MCI USA. Every morning, I open my news apps to headlines about evolving government policies, new tariffs, shifts in international relations and economic fluctuations—all of which directly impact how businesses organize and plan meetings and events. These unpredictable, and often downright unfavorable, conditions are already impacting event attendance. A global survey of more than 175 event professionals by the Professional Convention Management Association (PCMA) found that more than 75% of event organizers report lower event registration numbers due to the current political and economic environment. In addition to domestic event attendance dropping, global organizations are questioning whether it's advisable to host events in the U.S. at all. Between March 31 and April 8, 2025, the Global Business Travel Association (GBTA) conducted an industry sentiment poll of global business professionals. One out of five respondents reported their organizations have considered canceling (or actually have canceled) a U.S.-based meeting. What is clear is that we now operate in a VUCA (volatile, uncertain, complex, ambiguous) environment. Our inclination might be to freeze event planning and ride out the storm, but history shows that innovation thrives in adversity. Leaders who master this environment don't just survive the disruption; they turn it into a competitive advantage. Here's how you can do the same: VUCA Prime: Your New Guide The solution isn't to retreat or cancel strategic meetings. It's to approach them with what leadership expert Bob Johansen of the Institute for the Future calls 'VUCA Prime,' using 'vision, understanding, clarity, and agility' to navigate volatile times. When external forces create chaos, successful leaders anchor their teams with a clear, compelling vision. Budget constraints and concerns about travel are powerful forces within an organization. Attendees must be able to make a case to decision-makers to demonstrate what attending your meeting will accomplish and why it matters more than ever. Your goal is to ensure that your event isn't seen as an optional networking opportunity, but as essential to an organization's success. Communicate your event's strategic importance early and often. Frame it as mission-critical. Ensure promotional materials describe exactly what attendees can expect to take away from your event. Bonus points for providing attendees with easily digestible 'soundbites' in-session materials that they can bring back to their organizations to demonstrate quick wins. Event planners must develop a deep understanding of attendees' unique situations. Do international participants need extra visa processing time? Are businesses worried about funding freezes? International attendees face especially significant hurdles. One respondent to the PCMA survey said, "All of our Canadian members canceled [their event attendance]. They are afraid of border detainments." Yet even with travel bans and visa requirements changing day by day, fewer than one in five event organizers have updated travel-related messaging to support international attendees—a critical missed opportunity. Remind attendees to check passport and visa requirements well in advance. Share destination details, including local culture and safety information. Offer invitation letters to facilitate applications for necessary visas. Designate informed liaisons for international guests to contact with questions, concerns and requests. Understanding what stands in the way of event attendance is key to addressing those issues to a level that attendees can feel comfortable and confident in attending your event. In our current environment, event planners must manage unpredictability and complexity by insisting on clarity in every facet of event planning, from attendee communications to vendor relationships. A reliable way to create as much stability as possible in a volatile environment is to tighten up the logistics that are within your control. Consider these tips: • Speakers: Insist on early arrivals and make robust backup plans, both for in-person alternatives and remote presentations. Ensure you have adequate technology and expertise to go virtual if needed. • Food And Beverage: Lock in written agreements; verbal agreements are obsolete. PCMA survey respondents noted food prices are "through the roof." Sourcing locally is key to availability, price reliability and sustainability. Build anticipated cost increases into initial budgets. • Products And Services: For events outside the U.S., prioritize local sourcing over international shipping to avoid customs delays and tariff costs. Event planners are already feeling tariff effects on everything from giveaway items to AV equipment. • Venue Selection: Consider "secondary cities," which often offer more pricing flexibility and greater room for contract negotiation than primary markets while still providing excellent facilities. The most successful organizations display agility—the ability to adapt quickly to changing conditions. This requires both a flexible mindset and robust systems. • Build flexibility into contracts. The PCMA survey revealed that 73% of organizations haven't changed their contracts in response to policy shifts. Smart planners are updating standard contracts with protective language, including force majeure clauses that specifically address policy changes and performance clauses to ensure vendors deliver despite their own challenges. • Prepare for multiple scenarios. Develop contingency plans for various scenarios, including postponement options, venue alternatives and attendance thresholds that might trigger plan adjustments. The New Normal The good news is that the initial panic over tariffs, travel bans and other policy changes has generally stabilized into a 'new normal.' It is a reality, however, that requires advanced planning, contingencies and strategic thinking. Successful leaders are not reactive to current conditions. Instead, they see opportunities to improve, streamline and deliver more impactful experiences to event attendees. The organizations that structure their approach around the proven framework of VUCA Prime won't just survive the current disruptions; they'll emerge stronger and more resilient. Organizations Need To Shift From Change Management To Change Fitness
Your Organization's Next Change Is Coming. Will You Manage It or Get Fit for It? What if your organization's next major transformation is almost certain to fail, not because the strategy is wrong, but because your people are too burned out to execute it? For the last decade or so, if you asked a researcher or consultant the likelihood of a big-ticket change program succeeding, they would have given you a bleak answer: a 70% failure rate. Last year, Bain & Company upped that failure rate to 88% and gave the burnout of "oversubscribed star players" as a contributing factor. But despite the odds of failure, organizations continue to plan for change projects, expecting different results from teams that are increasingly depleted by today's uncertain operating environment. We need a different way of thinking about and leading change. We need to switch from change management to change fitness. The Exhaustion Epidemic Hiding in Plain Sight Walk into any organization today and you'll hear a familiar refrain: "Once we get through this reorganization..." or "After this system implementation..." or "When things settle down..." The uncomfortable truth is that things aren't going to settle down and we can't always predict the next big change around the corner. This truth is so palpable that many feel the VUCA framework — Volatile, Uncertain, Complex and Ambiguous — is no longer sufficient to describe the times we live in, opting instead for futurist Jamai Cascio's concept of BANI – Brittle, Anxious, Non-linear, Incomprehensible. Today's perpetual state of flux creates not just physical tiredness from working long hours, it's a deeper, more insidious form of depletion. Teams are experiencing what Harvard psychologist Robert Kegan might term "cognitive overload," where the complexity of their environment consistently exceeds their current capacity to make sense of it. The result? A workforce that's not just tired, but fundamentally unable to engage with change in productive ways. The traditional change management model—with its neat phases of "prepare, change, sustain"—assumes periods of stability between disruptions. But as leadership researcher Nick Petrie observes, "When leaders treat change as an event, they miss the reality: it's now a permanent feature of work." We've entered what he calls an era of "perpetual whitewater," where the rapids never end and the calm water we're paddling toward is a mirage. Why Traditional Change Management Is Becoming Obsolete So the change management playbook most organizations follow was designed for a different era: one where disruptions were episodic, boundaries were clear, and problems had known solutions. Harvard professor Ronald Heifetz's distinction between technical and adaptive challenges illuminates why traditional approaches fall short. Heifetz says that technical problems, however complex, can be solved with existing expertise and established procedures. Need to implement a new software system? There's a methodology for that. Adaptive challenges, by contrast, require people to examine and often abandon deeply held assumptions about how work gets done. Think about the scope and scale of challenges organizations face today: Leaders should not think of these as a tick-list of problems to be solved, rather as ongoing workplace realities to be navigated. When organizations apply technical solutions to adaptive challenges, they create what we might call "change theater'—lots of activity and apparent progress, but little fundamental transformation. The Science Behind Change Fitness The answer is "change fitness" and the organizational capability to continuously adapt without depleting human resources. Kegan's research on adult development shows that we can develop greater capacity for complexity under the right conditions. His work reveals that many of us are operating at a level "in over their heads," performing roles that exceed our current developmental capacity. Rather than seek to reduce complexity (that's impossible in today's world) the solution is to increase capacity. Change fitness emerges when organizations create conditions for what Kegan calls "transformational learning." That means more than acquiring new skills, but fundamentally expanding how people make sense of their world. Building Change Fitness: Three Core Practices Organizations that successfully build change fitness share common practices that can be implemented without massive budgets or complex programs. These practices transform how teams engage with ongoing change: Instead of waiting for clarity that never comes, change-fit organizations engage in ongoing sensemaking. They regularly ask: This involves incorporating five minutes of sensemaking into existing routines. A team check-in might start with: "What's one thing that's different this week from last week?" Over time, this practice builds what researchers call "complexity capacity" and the ability to hold onto multiple, sometimes contradictory realities without becoming paralyzed. Change fitness requires treating human energy as a finite resource that must be deliberately managed. This means: One practical approach: Before taking on any new initiative, teams must identify what they'll stop doing or do less of. This forced trade-off prevents the accumulation of change debt that leads to burnout. Traditional organizations celebrate successful change implementations. Change-fit organizations celebrate successful navigation of uncertainty. They regularly ask: This shift from outcome-focus to process-focus builds what Heifetz calls "adaptive capacity" and the ability to thrive in situations where the path forward is unclear. The New Resilience is Expecting Change, Not Stability Traditional resilience was about bouncing back to a previous state, like a rubber band returning to its original shape. But what happens when there's no original shape to return to? When change is constant, resilience isn't about bouncing back. It's about becoming so adaptive that you no longer expect the world to stay the same. This represents a shift in organizational psychology. Instead of seeing change as disruption to be managed, change-fit organizations see it as the medium in which they operate. The exhaustion comes not from the change itself, but from the futile effort to resist it. As Petrie notes in his research, organizations must develop leaders and cultures that don't just cope with complexity but thrive in it. This isn't about working harder or being more resilient in the traditional sense. It's about developing what he calls "bigger minds" and the capacity to hold complexity without being overwhelmed by it. Your Organization's Next Change Is Coming. Will You Manage It or Get Fit for It? The 88% failure rate for transformation isn't inevitable. It's the predictable result of using yesterday's change management tools on today's adaptive challenges. Organizations that cling to episodic change management will continue to exhaust their people while achieving diminishing returns. The alternative is building change fitness—developing the organizational capacity to navigate continuous adaptation without depleting human resources. This isn't about adding more to leaders' plates or creating new programs. It's about fundamentally shifting how we think about and engage with change. Your organization's next change is already on the horizon. You can approach it with another change management plan, complete with phases and committees and communications strategies. Or you can use it as an opportunity to build change fitness—to develop the muscles of adaptation that will serve you through all the changes to come.

But today's leaders face a new level of challenge: environments defined by volatility, uncertainty, complexity, and ambiguity—collectively known as VUCA. The pace of disruption, from geopolitical shifts to AI breakthroughs, means traditional playbooks no longer apply. In a VUCA world, technical expertise and operational know-how are not enough. What separates effective leaders is emotional intelligence: the ability to stay grounded, connect with others, and lead through change with clarity and resilience. UNDERSTANDING THE VUCA FRAMEWORK To lead effectively today, leaders must understand the forces shaping their environment. VUCA environments are characterized by: Understanding these forces is step one. The next is developing the mindset and leadership behaviors to thrive in their presence, which begins with emotional intelligence. CORE COMPONENTS OF EMOTIONAL INTELLIGENCE Daniel Goleman, the psychologist and author who brought emotional intelligence (EI) to global attention in his 1995 book Emotional Intelligence: Why It Can Matter More Than IQ, reshaped how we understand leadership. His research showed that the ability to recognize, understand, and manage emotions—our own and others'—is a critical differentiator in effective leadership. In a VUCA environment, emotional intelligence becomes more than a leadership asset—it's a stabilizing force. Goleman's model includes seven core competencies that help leaders respond, not react, in times of change: These are not abstract traits, they are learned behaviors that shape how leaders show up during disruption. And they lay the foundation for a mindset that's built for volatility, uncertainty, complexity, and ambiguity. TRANSLATING EMOTIONAL INTELLIGENCE TO A VUCA MINDSET Navigating a VUCA environment requires more than tactical adjustments, it demands a shift in how leaders think, act, and communicate. Emotional intelligence provides the foundation for this shift. Leaders with a high EQ are better equipped to remain composed, flexible, and forward-looking, even when the path ahead is unclear. A VUCA mindset embraces change, encourages experimentation, and views disruption as an opportunity for growth. These leaders model adaptability by pivoting quickly in response to shifting conditions while maintaining stability and resilience. They lead with humility, create safe spaces for learning, and foster cultures where innovation and iteration are not only accepted but expected. Here are eight leadership practices that support the adoption of a VUCA mindset: What Today's Conditions Demand from Tomorrow's Leaders Leading in a VUCA environment is both a challenge and an opportunity. By embracing adaptability, fostering resilience, and applying innovative strategies, leaders can do more than navigate volatility, uncertainty, complexity, and ambiguity—they can use these conditions to fuel growth and transformation. Doing so requires a mindset shift: viewing disruption not as a threat, but as a catalyst for ingenuity. Leaders who adopt a VUCA mindset, grounded in emotional intelligence, are better equipped to lead with agility, make decisions amid ambiguity, and keep teams focused through change. They leverage data and technology, encourage diverse thinking, and build cultures where experimentation and collaboration thrive. Traditional command-and-control leadership falls short in today's environment. What's needed instead is connection, trust, and adaptability: qualities rooted in high emotional intelligence. These capabilities are especially critical when driving disruption, whether through integration, restructuring, turnaround efforts, or cultural transformation. The leaders who succeed will be those who remain curious, flexible, and focused, regardless of what the future holds. How PM Modi Overcame Volatility, Uncertainty, Complexity & Ambiguity
Last Updated: One of the most significant achievements of Modi's third term is the robust economic growth India has sustained despite global geopolitical headwinds VUCA, an acronym for Volatility, Uncertainty, Complexity and Ambiguity, is a framework used to describe the challenging and rapidly changing environment in which organisations and individuals operate. It originated in the military sphere but is now widely adopted in business, economics and politics. Clearly, the world today is in the grip of VUCA more than ever before. Few global leaders have showcased the will or ability to overcome VUCA. However, Narendra Modi not only overcame VUCA, but did so with elan. On June 9, 2025, Prime Minister Narendra Modi will have completed one year of his historic third term as India's duly elected Prime Minister, a feat unparalleled in India's history. One of the most significant achievements of Modi's third term is the robust economic growth India has sustained despite global geopolitical headwinds. In the first 100 days of Modi 3.0 alone, investments worth Rs 15 lakh crore were committed, signalling strong investor confidence in India. In the last 11 years, over 17.9 crore jobs have been added as per RBI-KLEMS data, with an average job growth of 36%. Between FY12 and FY23, extreme poverty in India fell from 27.1% to just 5.3%. Kashmir to Kanyakumari is now a reality for the railway network. Generations in J&K spent their lives waiting for rail connectivity, but today, be it the Chenab bridge or the Anji bridge, they are gateways to the prosperity of Jammu & Kashmir. Atal Tinkering Labs have incubated over 3,500 start-ups, supported over 1,000 women-led start-ups and created over 32,000 jobs, fuelling the spirit of youth entrepreneurship. India registers four start-ups every hour, with funding increasing 15 times, incubators growing seven times and investors increasing nine times, showcasing an ecosystem that nurtures youth-led ventures. One in every 10 unicorns globally was born in India last year, with 118 unicorns created, highlighting India's rising prominence in the global start-up ecosystem. Nearly 50% of recognised start-ups are based in Tier 2 and 3 cities, generating 68 lakh jobs in the last six years. India is rewriting the rules of innovation by opening up critical sectors like space and defence to private players; in the defence sector, 92% of contracts worth Rs 1.68 lakh crore now go to Indian companies. Needless to add, PM Modi's focus on empowering the youth and their scientific temper has paid rich dividends. Urban India has transformed with over 4,576 cities having achieved ODF status. Dignity and hygiene are no longer a privilege – they are a right. Solid and liquid waste management now covers over five lakh villages. Over 10 lakh homes now receive up to 300 units of free electricity per month and the government is saving Rs 75,000 crore annually. With over 36.87 crore LED bulbs distributed under UJALA, families are saving Rs 19,153 crore each year. Emissions are down by 3.87 crore tonnes of CO₂ per year. Clean energy isn't just green – it's pro-poor. Jal Jeevan Mission brought water to the doorstep of millions. There has been a 380% increase in households with tap water connections, from 3.23 crore to 15.64 crore households, in the last few years. Direct Benefit Transfer (DBT) has eliminated middlemen and leakages. Over 1,200 schemes now use DBT, with Rs 44 lakh crore transferred directly to bank accounts of the needy. With the PM Garib Kalyan Anna Yojana, over 81 crore people have received 5kg of free food grains every month since the pandemic. No one went hungry, not even during the darkest days of the pandemic. PM Ujjwala Yojana has transformed kitchens and lives, with over 10 crore LPG connections. PM Mudra Yojana gave wings to dreams. Over 52.5 crore loans worth Rs 33 lakh crore were given to small businesses, with 68% of them to women. The Jan Suraksha schemes have brought social security to every doorstep. Over 51 crore people are enrolled under PM Suraksha Bima and 23 crore under PM Jeevan Jyoti. Insurance is now for everyone, not just the privileged. The Saubhagya scheme electrified nearly three crore households. For millions, darkness turned to light. Power wasn't just infrastructure – it was hope. Under the Deen Dayal Upadhyaya Gram Jyoti Yojana, 19,000 remote villages were electrified. The mission of 100% village electrification was completed within four years. Under Modi's farmer-first vision, Rs 3.7 lakh crore reached beneficiaries via PM-KISAN, 25 crore soil health cards have been issued, Rs 1.75 lakh crore insurance claims settled, 1,473 mandis linked via eNAM and MSP has been raised by at least 50% over and above the cost of production. Over 7.9 lakh tonnes of produce moved through over 2,300 Kisan rail services. Agricultural exports crossed Rs 4 lakh crore in 2023-24, doubling in 10 years. Farmers are going global. The Rs 1 lakh crore Agriculture Infrastructure Fund led to modern warehouses, cold chains, and better rural logistics – farmer earnings now last beyond harvest. Over 10,000 FPOs (Farmer Producer Organisations) were formed to boost collective bargaining and market strength. PMMSY and Sagarmala projects created better harbours, cold chains, and market linkages. The Blue economy also got a bold push. Rashtriya Gokul Mission conserved indigenous breeds, supported desi dairy development and gave livestock rearers new hope. India is now the world's largest milk producer thanks to mission-mode support, better fodder, and strong veterinary infrastructure. Twenty-four Mega Food Parks came up across India, linking farmers with industry. From 17.6 lakh direct jobs by over 1.6 lakh recognised start-ups to 1.6 crore youth trained under PMKVY and a massive rise in medical seats, this last decade under Modi wasn't about promises, but about possibilities turned real. Since 2014, new IITs and IIMs have opened nearly every year. India witnesses a new university coming up every week and a new college every day, expanding quality higher education. India has opened the gates of global research through the 'One Nation One Subscription' initiative. Now, over 1.8 crore students, researchers, and faculty members across the country have access to more than 13,000 prestigious journals from 30 leading international publishers. This is a massive step in democratising knowledge and fuelling innovation across every classroom and lab. The number of IITs grew from 16 to 23, IIMs from 13 to 21 and AIIMS from eight to 23, marking significant growth in premier institutions for tomorrow's leaders. The number of medical colleges and MBBS seats has more than doubled since 2014, increasing from 51,348 seats to over 1.18 lakh, ensuring a stronger future healthcare workforce. India's higher education is booming with 574 new universities established and 13,461 new colleges established, expanding learning opportunities for youth nationwide. Several first-ever educational milestones have been achieved: forensic university, rail and transport university, AIIMS in the North-East, medical college in Silvassa and Central university in Ladakh. With over 10,000 Atal Tinkering Labs and over 12 lakh innovation projects, more than 1.1 crore students are actively engaged in innovation and creative problem-solving. The Make in India initiative, which celebrated its 10th anniversary in 2024, has been another cornerstone of PM Modi's economic success. The Modi government's emphasis on infrastructure, including the construction of a mega port at Wadhawan in Maharashtra and initiatives to connect 25,000 unconnected villages to road networks, is noteworthy. Modi's third term has continued to prioritise social welfare. Ayushman Bharat, the world's largest healthcare programme, now covers over 50 crore Indians, providing affordable and quality healthcare to the poor and neo-middle class. The Lancet has lauded the scheme. With 73% of houses being owned or co-owned by women, the PM Awas Yojana has been a game-changer. Between 2014 and 2024, over 4.2 crore houses were sanctioned and in June 2024, the Cabinet approved assistance for an additional three crore rural and urban households. Modi's third term has also placed a strong emphasis on environmental sustainability. India is on track to achieve its ambitious target of 500 gigawatts of renewable energy by 2030. Key initiatives like PM KUSUM and PM Surya Ghar have empowered farmers and households by promoting solar energy adoption. The National Green Hydrogen Mission is another forward-looking step, focusing on alternative energy sources to reduce fossil fuel dependency. The BioE3 policy, approved in 2024, supports high-performance biomanufacturing to achieve net zero goals. Mission Mausam, with a Rs 2,000 crore budget, seeks to enhance weather and climate forecasting by 2026. At the COP26 conference, Modi announced India's target of carbon neutrality by 2070, earning praise from environmentalists for bold climate action. India's achievement of 10% ethanol blending well ahead of schedule further underscores PM Modi's commitment to sustainable energy practices. The Anusandhan National Research Foundation (ANRF), backed by a Rs 50,000 crore allocation from 2023 to 2028, is a landmark initiative to bolster scientific research. By providing resources to scientists and reducing barriers, ANRF aims to promote localised solutions to global challenges. No PM before him paid as much attention to promoting scientific temper and innovation as Modi has. The introduction of the Samanvay platform to combat cybercrime, along with the Cyberdost mobile app and plans to train 5,000 cyber commandos over the next five years, reflects the Modi government's commitment to leveraging technology for national security. These initiatives are critical in addressing the growing threat of cyberattacks in an increasingly digital world. With almost 19 billion transactions worth over Rs 25 lakh crore every month via UPI, digital India under Modi has redefined the very concept of e-commerce, ease of business and ease of living for commoners. The successful hosting of the G20 Summit in 2023, carried forward into 2024, showcases PM Modi's ability to shape global agendas. India has already become the world's fourth-largest economy, overtaking Japan, with India's average GDP growth of the last four years at a healthy 8.25%. Modi's call for the International Day of Yoga at the United Nations, which received overwhelming global support, has promoted India's cultural heritage and wellness practices worldwide. Last but not least, the 'Beti Bachao Beti Padhao' initiative is transforming India. For the first time ever, there are more women than men in the sex ratio of India's total population, with 1,029 women for every 1,000 men. In 11 years, PM Modi's vision has turned the tide for our daughters – because they deserve nothing but the best. Sanitation today stands as a symbol of safety, dignity and empowerment for Nari Shakti. In 11 years, India became open defecation free, built over 12 crore individual household toilets and 2.49 lakh community sanitary complexes. India's future in science belongs to women. With initiatives like Vigyan Jyoti, the WISER Scheme, STEM, and CURIE, the last 11 years have nurtured aspirations of women in science and technology. Over 55.7% of the 55.44 crore PM Jan Dhan Yojana bank accounts belong to women. Sukanya Samriddhi Yojana has benefited over 4.2 crore young girls. Speaking of women's safety, it is commendable that 747 FTSCs are now operational. Four hundred and six dedicated POCSO Courts are working to conclude pending cases of rape, while the POSCO Act has been strengthened. Maternity leave has been extended from 12 to 26 weeks, Sainik Schools are now open to girls, 17 women cadets have graduated from the National Defence Academy and Permanent Commission has been granted to women officers. top videos View all Rural women are now scripting a new chapter with help from schemes like Lakhpati Didi and Drone Didi. From drones to SHGs, women are no longer waiting – they're taking charge of India's growth and turning dreams into unstoppable realities.
