On World Emoji Day, Thursday, 17 July 2025, South African companies are being encouraged to introduce formal policies regulating the use of emojis in workplace communication, following concerns that their meanings may be misinterpreted and potentially lead to legal or reputational issues.
This guidance was highlighted in a recent webinar presented by Dr Zakeera Docrat.
The session warned that while emojis are widely used in casual messaging, their increasing presence in professional spaces requires a more cautious and structured approach.
'Emojis carry different meanings depending on context, culture, and even age,' said Docrat.
Something as simple as a smiley face or heart emoji could be interpreted very differently by recipients and may raise concerns around professionalism or harassment.'
Examples raised during the webinar included emojis like 👀 (often read as suggestive), 😋 (which can imply desire), or a hug emoji, which might be taken as inappropriate depending on the nature of the conversation.
The legal experts noted that employers should update codes of conduct, social media guidelines, and employee handbooks to include references to emoji use. They stressed the importance of involving staff in these policy updates, allowing room for discussion and clarity.
Rather than relying solely on online sources like Emojipedia, companies were advised to consult experts such as forensic linguists when drawing up emoji-related workplace rules.
Docrat also recommended that businesses consider restricting or banning emoji use in official workplace channels such as WhatsApp groups or client communications.
'If you're unsure whether an emoji is appropriate, it's best not to use it,' she added.
'Emojis can enhance communication, but they also carry risks if used carelessly.'
As digital communication evolves, organisations are now being challenged to strike a balance between modern expression and professional standards – ensuring that what's meant to be friendly doesn't end up being offensive.

South African citizens needing to register child births and renew passports while abroad can benefit from service centres being rolled out in several countries. The promise is to cut turnaround times to five weeks. Home affairs minister Leon Schreiber said some people had waited between 12 to 18 months to obtain a new passport. He launched the first two service centres in Australia this week, in Sydney and Melbourne, with another due to open in Perth by the end of September. Two centres went live this week in Auckland and Wellington in New Zealand. This is in addition to the service centre in London, which is operational. Over the coming months, the department of home affairs will open service centres in the United Arab Emirates and China, followed by France, Germany and the Netherlands later this year and North America in the new year. The service centres abroad will offer: application intake and processing for adult and minor passports, for new passports and renewals, ending the need to travel or wait indefinitely for consular appointments; birth registration applications; a new online appointment booking system that brings predictability, structure and transparency to planning, while also accommodating walk-ins; and e-mail support and SMS-based application tracking so clients are kept informed every step of the way. Opening hours are from Monday to Friday from 9am to noon and 1pm to 5pm. The department is also working to upgrade the eHomeAffairs live capture platform which will enable the centres to offer smart ID services and eliminate the use of paper forms. An announcement will be made when the project is completed.

Picture: iStock A new report has revealed that the informal and unregulated usage of generative artificial intelligence (GenAI) by businesses in South Africa poses a threat to both them and their employees. The report, produced by World Wide Worx and Dell Technologies, surveyed over 100 medium and large-sized enterprises nationwide. Gen AI According to the findings released on Thursday, South African enterprises are rapidly integrating Generative AI (GenAI) into their operations, but most are doing so without formal strategies, dedicated leadership, or the infrastructure required to maximise value and minimise risk. This dramatic rise positions GenAI as the fastest-moving digital trend in the country. World Wide Worx CEO and principal analyst of the study, Arthur Goldstuck, said that in a rush to adopt the fast-growing technology, there is a need for organisations to take the foundational steps of planning and governance. 'Many organisations are simply unaware of the gaps they're leaving in their systems, said Goldstuck. 'The risk goes beyond the technical, and includes reputational, ethical, and operational vulnerability. While the first step of technology adoption is well underway, our survey demonstrates there is room for operational growth.' The report also showed that 83% reported improved productivity, while 66% saw enhanced customer service. On the other hand, the report raised the alarm over 'shadow AI' – the unsanctioned use of GenAI by employees without oversight. It showed that 32% of businesses correctly report informal or unregulated GenAI use, while a further 20% report a mix of official and unofficial GenAI use. 84% say oversight is an important or very important factor in the success of GenAI deployment. Caution The report cautioned that South Africa could find itself divided by the ability to use GenAI wisely and scale deployments as the technology matures. 'There's a real risk of a GenAI disconnect in South Africa between those who use GenAI deliberately, strategically and ethically, and those who use it blindly or not at all,' Goldstuck said. Goldstuck said as companies race to embed GenAI tools like Microsoft Copilot and ChatGPT into business functions, most are overlooking deeper transformation through infrastructure, skills and internal capability. He said holistic AI infrastructure, combined with people and processes, is critical to scaling AI deployments and clearly connecting them to tangible return on investment.
